This policy explains how TheRare Visuals (“Shootlo”, “we”) handles personal data when you book a shoot, work with us as a photographer, or visit our website. We follow India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and its rules.
What we collect
Customers
- Your mobile number, verified by a one-time code when you sign in.
- Your name and email address, which you give once after signing in and can change any time in Profile & settings.
- If you book a shoot at your own place: the address, pin and any details you add. We hide it from the photographer until you've paid, and delete it 30 days after the shoot.
- Booking details: place, time, package, add-ons, occasion, notes and preferences you choose to give.
- Payment status and references from Razorpay. We never see or store your card, UPI PIN or bank login.
- Messages you send to the Shootlo assistant, ratings and reviews.
- Photo spots you suggest and your votes on others' suggestions. Your first name is shown publicly with your suggestions; your votes are not.
Photographers
- Application details: name, mobile number, area, languages, experience, kit and portfolio.
- Profile details you add in your settings: email, bio, Instagram handle, languages and travel distance.
- Identity and payout documents: ID proof, PAN and bank proof.
- Your device location while you're online in the partner app, and a location trail while you're on the way to a shoot.
- Job history, ratings, acceptance rate and earnings.
- Once you're approved, your public profile shows your photo, name, bio, Instagram handle, skills, languages, ratings, number of shoots and the portfolio photos from your application. It never shows your phone, email, location or earnings.
Everyone
- Basic technical data needed to run the service securely (IP address, browser type, error logs).
- Website analytics, only if you accept analytics cookies.
Why we use it
- To match your booking with a nearby photographer, run the shoot and deliver your photos.
- To take payments, issue refunds and pay photographers.
- To verify photographers before they can take jobs, and to keep shoots safe (start codes, location on the way, no-show checks).
- To answer questions and resolve complaints.
- To send you receipts and booking updates by email, and Shootlo news and offers only if you've ticked the box for them. Untick it in Profile & settings to stop.
- To prevent fraud and misuse, and to meet legal and tax obligations.
- To understand how the website is used and improve it, if you've agreed to analytics.
We rely on your consent, given when you sign in or apply, and on legitimate uses permitted by law, such as meeting legal obligations.
Location
We only collect a photographer's location while they are online in the partner app. Customers see the photographer's location only after the photographer has set off for their booking, and only until the shoot starts. Detailed location trails are deleted after 30 days. For each time a photographer is online, our team keeps when it started and ended and where they were at the start and end (not a trail), for 180 days, to manage coverage and sort out disputes; it's deleted with the account. For customers, we use your device location only when you tap “Use my current location” to fill in a shoot address; we don't track you.
AI features
The Shootlo assistant and our internal tools use Google's Gemini models through Google Cloud Vertex AI to understand booking requests, suggest photographers and review portfolios. Identity and bank documents are never sent to an AI model. A person on our team makes every assignment and approval decision. Under our agreement with Google, this data isn't used to train Google's models.
Who we share it with
- Your photographer: your booking details, notes and first name. Not your phone number, surname or email.
- Customers: a photographer's name, rating, languages, and live location while on the way.
- Service providers who process data for us: Google Cloud and Firebase (hosting, sign-in, storage, maps, AI), Razorpay (payments and refunds), and Google Analytics (only with consent).
- Authorities, when the law requires it.
We don't sell personal data.
Where it's stored and for how long
Our database and files are hosted on Google Cloud in India. Some providers may process data outside India as permitted by law. We keep booking and payment records for as long as tax and accounting laws require (generally 8 years). Photographer documents are kept while you work with us and for up to 3 years after, unless the law requires longer. Applicants who aren't approved can ask us to delete their application at any time.
Your rights
- Ask what personal data we hold about you and get a copy.
- Correct or update inaccurate data.
- Delete your account yourself: Profile & settings → Delete my account, on the site or in the app. Your name, email, phone number, any application and photographer profile go straight away; records of past bookings and payments stay without your details, as the law requires.
- Ask us to delete your data, unless we must keep it by law.
- Withdraw consent. This may mean we can't provide the service.
- Nominate someone to exercise these rights on your behalf.
- Complain to our grievance officer, and then to the Data Protection Board of India.
Email contact@shootlo.com from, or mentioning, the mobile number on your account.
Cookies and analytics
We use essential browser storage to keep you signed in and remember your choices. Google Analytics runs only if you accept it in the cookie banner, and we don't send it your name, phone number or booking notes. You can change your choice by clearing this site's data in your browser.
Security
Data is encrypted in transit and at rest. Documents are stored in a private bucket and opened only by our onboarding team through links that expire within minutes. Access to production systems is limited and logged.
Children
Shootlo accounts are for adults. We don't knowingly collect personal data from anyone under 18 without a parent or guardian booking on their behalf.
Changes and contact
We'll update this page when our practices change and tell you in the app about important changes. Questions: contact and grievances.
